CONVOLENS Privacy Policy

Effective date: October 6, 2026

Last updated: October 9, 2026

1. Who we are and what this policy covers

This Privacy Policy explains how ELAV8 AI LLC ("ELAV8", "we", "us") collects, uses, shares, and protects information when you use CONVOLENS by ELAV8.

CONVOLENS is Streaming Intelligence for live conversation. While people talk, while people are talking around you, or while you watch a video, it transcribes what is said, turns those words into live slides and infographics, fact-checks claims, surfaces insight, remembers context, and suggests what to say or think about next. The app you can download now is for Mac.

This policy covers that app and the CONVOLENS services that link to it. It does not cover the ELAV8 website, ELAV8 Voice, or FALA. Those have their own policies, listed on the policies page.

Questions: privacy@elav8.ai.

2. Information we collect

Account and organization

Name, email address, user ID, organization, workspace, role, invitations, membership, authentication records, and messages you send to support.

Billing

Plan, seats, subscription status, billing interval, renewal or access dates, and Lemon Squeezy customer, subscription, order, variant, invoice, tax, and checkout metadata. Payment card numbers are handled by the billing provider. CONVOLENS does not store them.

What you capture and create

Conversation titles, participants, transcripts, transcript segments, notes, summaries, action items, lens outputs, chat prompts, chat messages, generated responses, files, images, URLs, pasted text, source documents, artifacts, and other content you submit, capture, import, or generate.

On your Mac

The app stores sessions, participants, contexts, transcript text and segments, chat messages, lens outputs, source metadata, extracted names, preferences, shortcuts, AI configuration, prompt caches, local vector indexes, logs, local sign-in storage, local secrets or API keys, onboarding and lens caches, images, and Voice Chat session state on your device.

Audio

Meeting microphone and system audio are transcribed on your Mac. Meeting audio is not uploaded. We do not create voiceprints or speaker profiles. The transcript, and the context around it, can be sent to an AI provider when you use a cloud AI feature.

Voice Chat

Voice Chat is separate from meeting transcription. When Voice Chat is on, microphone audio and relevant conversation context are streamed to Google Gemini Live or to xAI. Those messages can be kept in local chat history. CONVOLENS does not keep a cloud archive of that conversation.

Usage and diagnostics

Organization ID, user ID, request ID, model, provider, endpoint, token counts, usage cost estimates, latency, status, error metadata, lens ID, routing recommendations, Voice Chat duration, audio seconds, app version, device information, logs, and crash or performance diagnostics.

CONVOLENS websites

IP address, browser and device details, pages visited, referral source, local storage preferences, checkout state, and similar technologies described below. The ELAV8 marketing website at elav8.ai has its own cookie policy.

3. How we use information

  • Provide, operate, secure, and troubleshoot CONVOLENS.
  • Sign you in, manage organizations, enforce roles, provide support, and run billing.
  • Transcribe a live conversation, build slides and infographics, fact-check, surface insight, answer chat, run lenses, and search.
  • Send an AI, embedding, search, or tool request to a local model, to CONVOLENS servers, to a provider we select, or to a provider whose key you supply.
  • Measure usage, enforce plan limits, attribute cost, prevent abuse, and keep the service reliable.
  • Comply with law, enforce our terms, resolve disputes, and protect users, ELAV8, and others.

4. AI processing

Cloud AI features send relevant transcript text, prompts, conversation context, participant and background information, images, and tool results through CONVOLENS to the provider that feature uses. Those providers include OpenAI, Anthropic, Google, xAI, Perplexity, and TypeSafe/Jev. TypeSafe/Jev receives transcript excerpts and decision context. It does not receive raw meeting audio. Some embeddings run on your Mac.

Active Voice Chat is separate. It streams microphone audio and relevant conversation context to Google Gemini Live or xAI.

OpenAI, Anthropic, Google, xAI, and Perplexity process that content under zero-data-retention terms. TypeSafe/Jev does not have zero-data retention yet. We are moving it to an enterprise account that does. None of these providers use your content to train their models. If you connect your own provider key, that provider's terms apply to that key.

5. Who we share information with

We share personal information only:

  • with the service providers below, which process it to run CONVOLENS;
  • with an AI, search, or tool provider when you start that feature;
  • with administrators of an organization, if you use CONVOLENS through that organization. They may manage accounts, billing, workspace, retention, and content for the organization;
  • when the law requires it, or to protect the rights, property, or safety of our users, the public, or ELAV8;
  • as part of a merger, acquisition, financing, or sale of assets. We will tell you before your information becomes subject to a different privacy policy;
  • with your consent.

Integrations you connect are separate from the Slack signup notifications above. When you use one of those tools, it receives the information that tool needs, limited to the permissions you granted.

6. Sale and sharing

We do not sell your transcripts, notes, prompts, files, chat messages, or AI outputs. We do not share that content for cross-context behavioral advertising. CONVOLENS product sites do not use advertising or retargeting cookies. The ELAV8 marketing website is covered by the website privacy policy and cookie policy.

7. How long we keep information

Your transcripts, chat history, and generated artifacts are stored on your Mac. To run an AI feature, CONVOLENS and the AI provider process the relevant content and return the result for local storage. CONVOLENS does not keep a cloud history or archive of that content.

Local history generally stays until you delete it. Temporary processing state, account and billing records, and diagnostics follow separate rules. How long an AI provider keeps content is set by that provider's API terms and data-processing agreement. This policy does not state a fixed deadline for backups or for records held by a provider. Those follow the agreements and the settings in effect.

You can remove information in these ways:

  • Delete a session. This removes that session's local records and the files and index entries tied to it. A linked chat can remain.
  • Clear Knowledge Base. This clears the search index. It does not delete transcripts or chat history.
  • Reset All Data. This clears local app data and credentials. Your cloud account remains. Model caches and crash dumps can remain.
  • Use the built-in uninstall. This does a broader local cleanup. Deleting the cloud account is a separate step. Moving the app to the Trash does not do that cleanup.
  • Delete the account. This removes the cloud user and the organization data that applies to that account. Some records shared with an organization, and some files on the Mac, can remain.

None of these actions automatically erases exports, backups, provider records, or signup and payment records held by HubSpot, Slack, or Lemon Squeezy.

8. Security

We protect information with a local-first design, sign-in controls, access limits, and the security measures of our providers. Diagnostic reports are scrubbed, and an error report can still contain limited user content. No method of storage or transmission is completely secure.

9. Your choices and rights

  • Use features that stay on your Mac, and skip optional cloud AI when you do not want content sent.
  • Delete a session, clear the Knowledge Base, reset all local data, or use the built-in uninstall, as described above. Moving the app to the Trash does not run that cleanup.
  • Manage billing in Settings, then Plan & Billing, and in the Lemon Squeezy customer portal.
  • Manage browser local storage in your browser.
  • Ask us to access, correct, delete, or export your information, or to limit or object to processing, where the law gives you that right.

Email privacy@elav8.ai. If you are in the EEA or the UK and you believe our processing violates the law, you may also contact a supervisory authority.

10. California

If you live in California, you may ask us to know, access, correct, delete, and provide a portable copy of personal information. You may opt out of sale or sharing, limit the use of sensitive personal information, and we will not treat you differently for asking. We use sensitive information to provide the features you request, secure the service, prevent fraud, keep quality and safety, and comply with law, unless you or your organization authorize another use.

The categories we may collect are identifiers (name, email, account IDs, billing IDs, IP address), commercial information (plan, invoices, support), device and usage activity, audio and electronic information (meeting audio transcribed on your Mac, Voice Chat audio streamed to Google Gemini Live or xAI when you start it, transcripts, images, files, and chat), professional information you or your organization provide, and inferences such as summaries, lens outputs, and routing recommendations. Sensitive information here means account credentials and the contents of private communications you provide. We do not collect voiceprints or speaker profiles.

11. Adults only (18+)

CONVOLENS is for people 18 and older. Do not use it to capture or transcribe a child unless you have the legal authority to do so and a written agreement with us that allows that use.

12. International transfers

We are based in the United States. We and our service providers may process information in the United States and in other countries. Where the law requires a safeguard for a transfer, we use an adequacy decision, standard contractual clauses, a data processing agreement, or another appropriate safeguard.

Where GDPR or a similar law applies, we rely on the contract to provide CONVOLENS, legitimate interests such as security and billing integrity, consent where the law requires it, a legal duty, or, in limited cases, protection of vital interests.

13. Changes to this policy

We will post any update here with a new Last updated date. If a change is significant, we will tell you in the app or by email before it takes effect, where the law requires notice.
